Professional Services

Built for the firms whose margins live and die by the work itself.

Law firms, accounting practices, agencies, and consultancies running on billable hours, document throughput, and client trust. We architect the systems that protect all three.

Fit check
  • Firms with 5–150 professional staff and complex matter / engagement work
  • Practices where intake, document review, or billing is held together by senior people
  • Operators who are profitable but stuck — the work is good, the throughput is the bottleneck
  • Owners who can describe the broken workflow in 30 seconds and want to fix it before it breaks the team
The Pattern

We’ve seen this stack before.

P.01 Symptom

Intake is a relay race with dropped batons.

Lead form to PMs, PMs to attorneys/partners, partners to admin, admin to engagement letter. By the time the client signs, three people have re-entered the same data and one has emailed the wrong version of an NDA.

P.02 Symptom

Senior people are doing junior work.

Partners writing first-draft emails. Senior accountants chasing receipts. Principal consultants formatting deliverables. The hourly cost of the work has nothing to do with the value of the work.

P.03 Symptom

Time capture is a guess.

Most firms reconstruct billable time on Friday from memory. The real number is somewhere between 60% and 100% of what should be billed. Whichever it is, you don’t actually know.

P.04 Symptom

The PMS, the email, and the doc store don’t talk.

The matter exists in three systems. Updates in one don’t propagate. The hour spent looking up the right version of the file is the same hour your competitor used to actually do the work.

Stack

Tools we know inside out.

We’ve shipped against all of these in production. If yours isn’t listed, it doesn’t mean we can’t — it means we’ll be honest about the ramp time on the audit call.

FAQ

What firms ask us before they hire us.

Q.01 Do you have to throw out our PMS?
No. We architect around your existing PMS — Clio, PracticePanther, ClickTime, NetSuite, whatever you're on — and integrate from there. We've never recommended a PMS migration as the lead move; that's somebody else's grift.
Q.02 How do we handle confidentiality and conflicts?
We work under NDA and conflicts checks before any data touches our hands. AI deployments run inside your accounts under your API keys with zero retention configured at the model vendor. We can sign a BAA where applicable. Your matter data does not leave your tenant.
Q.03 What about ethical walls / matter-level access?
We respect them. The retrieval and tool layer enforces the same access controls as your PMS — if a user can't see the matter in Clio, the AI can't pull it either. We treat ethical walls as a hard constraint, not a checkbox.
Q.04 How long until the partners stop having to micromanage this?
Two to three months for the first deployment, longer if multiple workflows are stacked. By month four most firms have one or two systems running in shadow-or-approve mode that the partner trusts enough to delegate.
Q.05 Will this replace anyone on our team?
Honest answer: occasionally. More often it raises the floor of what your existing team can take on without burning out. We tell you up front which workflows are likely to compress headcount needs so you can plan accordingly. We don't sell hidden RIFs.
