The pattern

We’ve seen this one before.

None of this is a competence problem. It’s what happens when a small staff runs a big operation on tools that were never introduced to each other.

P.01 Symptom

Renewal season runs on one person’s memory.

Your platform can almost certainly tell you who lapses in the next 30, 60 and 90 days. In most chambers nobody has ever run that report. So renewals get chased after they expire instead of before, and the members nobody thought to call just quietly don’t come back.

P.02 Symptom

Registrations come in. Payment doesn’t always follow.

Someone signs up for the luncheon, means to pay, and the follow-up never goes out because sending it is a manual job in a week that has no room in it. The gap doesn’t surface until someone asks why event revenue came in under budget.

P.03 Symptom

Sponsorship slipped, and no report was watching.

Event attendance holds steady, so nothing looks wrong. Meanwhile the sponsorship line drifts down year over year because it lives in a different part of the system than the events do, and nothing puts the two numbers on the same page.

P.04 Symptom

Your member list has an attic.

Expired records, zero-dollar records, duplicates and blanks going back a decade. Nobody wants to be the person who deletes something that turns out to matter. So every mail merge, every count you give the board, and every renewal run drags all of it along.

FAQ

What chambers ask before they hire us.

Q.01 We just renewed our all-in-one. Do we have to rip it out?
No, and we’d push back if you wanted to. We start with what you already have and find out which parts of it are earning their keep. Sometimes the answer is that the platform is fine and the way it’s being used isn’t. You should know which before anybody spends money.
Q.02 We’re four people. We cannot manage more software.
Then adding software would be us failing at the job. The goal is fewer places to look, not more. If what we propose means your staff learns three new tools, we have proposed the wrong thing.
Q.03 Our board has to approve anything like this.
Good — that’s the right way to run it. Every number we put in writing shows the assumption behind it, so you can take it into a board meeting and defend it line by line, or have someone in the room argue with it. That is what the written audit is for.
Q.04 Is AI going to be emailing our members?
No. It drafts, a person on your staff approves, and that person sends. We don’t build anything that talks to your membership without a human in between, and we’ll say no if you ask us to.
Q.05 One of our members is an IT company. Does that complicate things?
It comes up more often than you’d expect, and it’s worth naming early rather than late. We’ll be straight with you about where our work overlaps with theirs and where it genuinely doesn’t, and we’re comfortable working alongside them.
Q.06 What if you look at this and there’s nothing worth doing?
Then we tell you that, in writing, and you keep the audit. We would rather lose the migration than sell you a rebuild you didn’t need — the referral from a chamber we were honest with is worth more than the invoice.
